2012 Fall/Winter Events
After an energizing summer, a new season of company events awaits us. It is the time when teams reunite and start preparing for the last quarter of 2012. Your Fun Studio is ready for this season and welcomes you with bits of inspiration and recommendations for various events: company anniversaries, Christmas parties, meetings with business partners, fairs, exhibitions, product launches, team buildings or New Year`s Eve parties.
Although the corporate events season has just started, a timely preparation will ensure a successful execution. Here are some questions good to have in mind during the initial planning stages:
What is the purpose of the event? Which is the message we wish to send out? Company events are more than simple occasions to meet and have a good time, they need to justify through results, the financial investment made.
Who are the participants? Depending on the number of guests and their position in the company we will develop an event concept and choose a suitable team of coordinators.
Which are the internal resources available: personnel, budget, and competencies. This is the moment when we decide whether to delegate the event organization to an internal team or to outsource this task to professionals in the field of event management.
When should we schedule the event for? We should carefully choose the time frame for the event, date included, so that our company event doesn`t overlap with other internal events or important industry events like fairs and exhibitions.
How? Once the team and the collaborators are chosen, it is the time to start prospecting the marketplace for suppliers. Should we already have partners in this area that have proven on past occasions to be trustworthy and competent, it is recommended we reconnect with them. The beginning of a new events season is often an occasion to discover the new entertainment programs in the portfolio of artists and entertainers. Ask them if they have new proposals and whether they can come up with new ideas. The best of them will most likely surprise you with their creativity and ideas!
Which is the event concept? You can be sure that your guests will notice if the event invitations match the decorations, the location and the message you wish to send out. That is why we recommend choosing an event concept able to encompass all of these. A team can create and implement a successful company event even if it depends on a less permissive budget. What is important is to have answers to the previous questions and to choose the right event theme.
Where? At this point we can choose the location best matching the desired concept. Should we already have a preferred location, the event concept can be adjusted or can be changed completely.
If you have answers to the previous questions, then you probably already know how your event will look like. The next step is to carefully choose your suppliers, thinking into details the event schedule and, of course, the execution. As a last recommendation, request post-event feedback. Encourage your guests to be honest, making available to them questionnaires or other means for delivering feedback, so that you get fresh event related impressions. This feedback will be very useful for your next event. In the end, thank your guests for their participation and the privilege to have hosted them.
